Managing Jobs

In Repair Pilot, jobs have 2 main stages – Open Jobs and Closed Jobs. Open jobs are those that are currently ongoing and have active work being carried out, while Closed Jobs are those that are completed and either awaiting to be collected, or are back with the customer. This document will show how to manage your Repair Pilot jobs.

Access Open or Closed Jobs #

To manage your job, click into the Open or Closed jobs menu buttons.

Manage the Displayed Job Data #

On the Open and Closed job screens, you will see a collection of buttons above the data grid. These buttons allow you to customise which data you see and how you see them. Below is a list of what each button is and what it does.

a. Search – enter a search term into this box and click search to display the results in the grid below.

b. Reset – this will reset the grid to its default results, resetting the search and filters.

c. Filter – This button will bring up the job filter where you can filter by Job Status, Assigned staff member, date ranges and more.

d. Sort Management – The default sorting in these grids are by Job No – if you customise the sort order, you can click this button to save this sort profile so you can quickly apply it another time.

e. Column Management – If you click this button, you can choose which columns are shown on the grid, simply drag and drop the data fields depending on what you want shown and click Apply. These options are unique to each logged in user, allowing your staff to see the dataset that makes the most sense for them.

f. Export – Option to export the displayed data in numerous formats.

Updating the Job Status from the Grid #

You can update the Job Status from the grid. Simply click on the current Job Status and select the new Status, followed by the Green tick button to complete the change. If you do not see this field, please make sure the Job Status column is in your list of columns as mentioned in the previous step.

Updating Job Data #

Once you click into a job, you will find that almost all of the job’s information can be edited in place, allowing for quick and instantly saved changes. Wherever you see information that is underlined as in the image below, you can simply click on it, make the required changes, and click the Green save button and it is saved back instantly.

Advanced Job Management #

If you scroll down on the job screen, you will see a Tabbed section. Below is a description of what each tab is/does.

a. Job Details – a list of all data fields related to the repair job – these include any custom fields that have been set up for the Job section.

b. Item Details – a list of all data fields related to the item on the job – these include any custom fields that have been set up for the Item section. These details are separate from the Job details as those are specific to this individual job, whereas the Item details will follow that particular item if used on future jobs.

c. Repair Assignments – This is where you can assign each individual repair on a job to staff members. For a more detailed look at this, please head to the Job Assignments guide.

d. Attachments – here is where you can view and manage any job attachments – for a more details look at this, please head to the Job Attachment guide.

e. Contact Log – Find a detailed log of all correspondence that Repair Pilot has sent out to the customer, including emails and SMS messages.
